Managing short-term rentals by hand stops working the moment you add a second listing or a second channel. The right vacation rental software syncs your calendars, automates guest messages, and handles the operational grind so you can actually scale.

We looked at the leading platforms as a small host with a handful of Airbnb and Booking.com listings, focusing on the things that matter day to day: calendar sync, automated messaging, and how much manual work is left once everything is set up.

Here are our current picks, ranked, with indicative pricing you should always confirm on the vendor's site.

Which one fits your rental operation?

Portfolio size and whether you manage for others change the answer completely. The shortest honest guidance for each:

One or two rentals, mostly want messaging automated
Hospitable

The cleanest automated guest messaging at a flat price that suits a couple of units. You won't pay for portfolio features you don't need yet.

A few rentals, want your own commission-free booking site
Lodgify

A proper website with a real booking engine plus channel sync, so repeat guests book direct instead of through an OTA. Flat per-property pricing suits 1–3 units.

Scaling past ~5 units, want a full operations PMS
Hostaway

The strongest all-round platform once you're juggling several units — automation, a unified inbox and channel management. Expect a sales quote and an onboarding fee.

Managing rentals for other owners as a business
Guesty

Built for portfolios and teams, with owner reporting and trust-accounting features the others lack. Overkill and pricey until you're managing on others' behalf.

What you’ll actually pay

HospitableFrom $32/mo for 5 listingsFlat tiers + per-property surcharge above the limitGenerally cheaper than Guesty for small hostsFree trial; monthly, no lock-in
  • Custom-quote tools (Hostaway): budget above the headline per-door figures once onboarding is added — operators report $300–$1,000 setup.
  • Guesty's 1% per-booking fee on Lite compounds with volume — on €100,000 of bookings that's €1,000/year on top of the listing fee.
  • Per-listing pricing (Guesty, Hospitable) scales with your portfolio; flat per-property (Lodgify) is simplest for 1–3 units.
  • Trial the automation and messaging before committing — that daily workflow is what you're really paying for.

Also worth knowing

Not ranked above — smaller or newer tools we haven’t yet scored against our full criteria, listed here in the interest of covering the whole picture.

A low-cost ($19/month, no commission) embeddable booking widget for owners who already have a website and just want to take direct bookings on it, with iCal sync to Airbnb. It's a much smaller player than the tools ranked above, with only a handful of independent reviews so far, so we haven't scored it against our full criteria — but it's worth knowing about if your budget is tight.

Our verdict

For most hosts who are serious about growing, Hostaway is the best all-round choice — its automation genuinely reduces the daily workload as you add units. If your priority is a commission-free direct-booking website rather than deep automation, Lodgify gives you more for less.

Large property managers should shortlist Guesty, while Airbnb-first hosts on a tighter budget will get most of the value from Hospitable's automated messaging. As always, run a trial with your real listings connected before committing.

Frequently asked questions

Do I need vacation rental software for a single Airbnb?+

For one listing on one platform you can manage manually, though automated messaging still saves time. The moment you add a second listing or a second channel, software pays for itself by preventing double-bookings and repetitive typing.

Will this software work with Booking.com as well as Airbnb?+

Yes. All the platforms here connect to the major OTAs including Airbnb, Booking.com and Vrbo, keeping availability in sync so the same night can't be sold twice.
